There's a particular kind of chaos that happens at a track gate on a busy Saturday morning. A queue forms. Someone's flicking through three pages of a clipboard looking for a name that's been misspelled. Someone else insists they definitely booked, even though there's no record of it anywhere. Meanwhile the session's supposed to have started five minutes ago.
Paper sign-in sheets were never really designed to cope with this. They work fine when a handful of regulars turn up to the same slot every week and everyone knows each other by sight. They fall apart the moment a track opens up to public bookings, parkrun tie-ins, one-off events or anyone the person on the gate doesn't already recognise.
A printed list is a snapshot of the booking situation as it stood whenever it was printed. It can't show a cancellation from an hour ago. It can't show someone who booked last night after the sheet went to print. It can't easily prove whether someone actually paid, especially if a payment was still pending when the list was generated.
None of that is really the fault of whoever's on reception. They're working from the best information they were handed, and that information is often already out of date by the time the first person walks through the gate.
The idea behind QR code check-in is simple: every booking generates a ticket, and that ticket has a code that ties directly back to a live, up-to-the-second record - not a printout from Wednesday. Whoever's checking people in scans it with a phone or tablet, and it either confirms the booking or it doesn't. There's no page-flipping, no "let me just check with someone," no arguing over whether a name should be on the list.
For a big session - a parkrun-style event, an open day, a busy Saturday club morning - that speed matters more than it sounds like it would. A queue that moves in seconds rather than minutes isn't just more pleasant, it changes the entire feel of the entry point. People arrive, get scanned in, and get on with warming up, rather than standing around wondering if they're going to have to explain their booking to a stranger with a clipboard.
Not every session is one person at a time. Club training nights often have twenty or thirty people turning up within the same ten-minute window, and scanning each person one by one isn't always realistic. A decent check-in system needs to handle that too - marking a whole session's worth of bookings as arrived in one go when it makes more sense than scanning individually, while still keeping the option to check people in one at a time when that's what the situation calls for.
There's a quieter benefit to all this that's easy to underestimate: it takes the guesswork out of who's actually allowed to be there. Nobody has to make a judgement call about whether someone "probably" booked. The system either confirms it or it doesn't, and that removes an entire category of awkward conversation at the gate - the kind that nobody enjoys having, whether they're the one asking or the one being asked.
For track staff, that's less friction in a job that already has enough of it. For the people turning up to train or race, it's a much smaller, much less stressful part of their morning.
The appeal of this kind of check-in is that it doesn't need any specialist kit. Any phone or tablet with a camera works. There's no need for a dedicated scanner gun or a subscription to some separate piece of hardware sitting in a drawer for eleven months of the year. Whoever's on the gate that day uses whatever device is already in their pocket.
Not everybody arrives with a phone charged, unlocked and ready to show a screen at the gate, and a good check-in process needs an answer for that too, rather than assuming perfect conditions every time. A booking confirmation printed out, or a name simply looked up manually against the same live list the QR code points to, covers the exceptions without needing a second, separate system running alongside it.
Signal is worth thinking about too. Plenty of athletics tracks sit in the corner of a park or behind a sports centre, exactly the kind of spot where mobile signal can be patchy. A check-in system that depends on a live internet connection at the exact moment someone scans a code is only as reliable as the signal at that specific gate. The better version of this works from a list that's already been loaded onto the device before anyone arrives, so a dead spot in the car park doesn't turn into a queue that can't move.
None of this is about technology for its own sake. It's about removing a specific, recurring source of friction on exactly the days a track is at its busiest - the mornings when getting people through the gate quickly and correctly matters most, and when a clipboard is least equipped to cope.
If your track is still relying on a printed list and a highlighter pen, the Saturday morning queue is probably the clearest sign it's time for something that can actually keep up.
