1. Who we are

TrackSlot ("we", "us") operates trackslot.co.uk, a platform for finding and booking athletics tracks across the UK. This policy explains what personal data we collect, why, and what choices you have. Questions can be sent to [email protected].

2. Information we collect

When you create an account or make a booking, we collect:

  • Your name, email address, and password (stored as a one-way hash - we never see or store your actual password).
  • Booking details: which track, date, time, and the confirmation reference.
  • Optionally, if you choose to provide them: gender, date of birth, and your country/county, used to help us understand who's using TrackSlot and to personalise your profile.

We do not collect or store your card details. Payments are processed entirely by Stripe, our payment provider - see their own privacy policy.

3. Cookies

We use three categories of cookies:

  • Essential - to keep you logged in and to protect the site from bots and abuse (via Cloudflare Turnstile). These are always active, since the site can't function properly without them.
  • Analytics - Google Analytics, to understand how the site is used and improve it. Only stores data on your device once you consent.
  • Advertising - Google AdSense, to show ads that help fund the free running of this platform. Ad personalisation only happens once you consent.

If you're visiting from the UK, EEA, or Switzerland, you'll see a consent message on your first visit to choose which of these you're happy with. You can change your mind at any time using the "Cookie preferences" link in the footer. See Google's own explanation of how it uses data from sites that use its services.

4. Who we share data with

We only share what's needed to run the service, with:

  • Stripe - to process payments.
  • Postmark - to send booking confirmations and other account emails.
  • Google - Analytics and AdSense, only once you've accepted those cookies.
  • Cloudflare - security and content delivery for the site itself.
  • QuickFile - invoicing for track owners' subscription and transaction fees.

We don't sell your personal data to anyone, and we don't share it with third parties for their own marketing purposes.

5. How long we keep it

We keep account and booking data for as long as your account is active, and for a reasonable period afterwards to meet our legal and accounting obligations (for example, payment records). You can ask us to delete your account at any time - see your rights below.

6. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct anything that's inaccurate.
  • Ask us to delete your data, where we're not required to keep it for a legal reason.
  • Object to or restrict certain uses of your data.
  • Receive your data in a portable format.

To exercise any of these, email [email protected]. You can also complain to the Information Commissioner's Office (ICO) if you're unhappy with how we've handled your data.

7. Children

TrackSlot isn't intended for children under 16. We don't knowingly collect personal data from anyone under that age.

8. Changes to this policy

We may update this policy from time to time - for example, if we start using a new third-party service. The current version will always be available on this page.
